No, contractors don’t need a Melio account to submit W-9s or get paid. They’ll receive email updates for every step of the payment process—scheduled, sent, and delivered—so they can track payments without signing up. If they do choose to create an account, they can send invoices directly through Melio, making it easier for you to track and pay them.
Start by adding the contractor as a vendor. Enter their details, select the option to request a W-9, and Melio will email them the form to securely complete electronically. You can also upload an existing W-9 directly. Once their info is saved, you can pay them and track everything in one place.

You’ll need to collect W-9s from contractors and vendors that are considered a self-employed individual or business providing services to your company. Otherwise known as 1099 contractors, these are:
To request a W-9 from them, simply open the Vendors tab in your Melio account, open the vendor’s details, mark them as a 1099 contractor, and request their W-9 (or upload one you already have). Once their W-9 is on file, you can include them when you e-file your 1099s.
Yes, Melio automatically calculates annual payments made to your contractors who meet the 1099 threshold. However, a contractor or vendor is only included in your 1099 filing calculation if their W-9 forms are complete and up to date.
When you sync your Melio account with Tax1099, only contractors/vendors with verified W-9s are included. You can filter vendors by W-9/tax status to see which forms are pending or unverified. Vendors with incomplete W-9s won’t have their payment data synced—even if they meet the 1099 threshold—which could result in an incomplete filing.
To ensure all your vendor data is included, you must resolve any pending W-9 forms before starting the sync. This article explains how to make sure all forms are up to date.
