The challenge

CPA Business Advisors has multiple clients that open several new entities every year, sometimes as many as 20 annually. The accounting firm needed to find a reliable and efficient payment system that simplified and streamlined bill processing for clients with multiple entities under one owner.

“We wanted to be able to respond quickly to client needs so that we could focus on helping our clients grow their business,” said Bruce Robertson, Head of Growth & Development at CPA Business Advisors.

The solution

Initially, the firm used QuickBooks and its Melio payment integration to pay bills for its clients. This familiarity with Melio made the transition to the standalone version a natural fit for CPA Business Advisors.

“We can provide faster bill payment processing with Melio, given the intuitive structure of Melio’s systems,” Bruce noted. “Our clients rely on us to deliver their payments on time.”

While some of the firm’s clients were hesitant when Melio introduced a subscription model in late 2024, the benefits quickly became apparent to the firm and its clients.

“Initially, it was kind of a hesitation, and then it moved into a ‘this makes sense and we can understand it, ‘” Bruce said. “Given that we work closely with developers who can open as many as 10 to 20 new entities a year, and they look to us to keep them on track, Melio supports our needs for multiple new entities under common ownership.”

Compared to other available bill payment systems, Bruce estimates that Melio saves CPA Business Advisors approximately $40,000 per year, due to the fee structure. “Not only does Melio suit our specific needs, but the fee structure of Melio is far more beneficial for our needs and client needs than that of the competitors on the market,” he said.

Melio has been widely adopted across CPA Business Advisors, and the experience has been overwhelmingly positive, Bruce said. It continues to sync well with QuickBooks, and its intuitive user interface is more user-friendly than that of its competitors. Melio also offers improved payment visibility.

“Melio provides a nice breakdown of whether I need to have a payment delivered by a certain day. Melio will tell me when I should process a payment so that it can be delivered at the right time,” Bruce said. “All this information is helpful and not something I’ve seen in other payment processing systems.”
